Microsoft Dynamics NAV 2016 – The New Workflow Module

Microsoft Dynamics NAV The latest version of Microsofts ERP solution Dynamics NAV 2016 includes many optimised and new features that make day-to-day work with the software significantly easier for the user. One of the presumably most interesting new features is the option of generically and flexibly configuring and executing workflows directly within the application.

The new workflow module supports the user in consistently and individually controlling ERP processes and, in so doing, meeting existing compliance requirements. Business Process Management is thus IT-supported to an extent. For instance, a user disposing of the appropriate authorisations can independently configure approval and licence processes by defining the respective reactions to certain events directly in Dynamics NAV 2016 (”If”…”then”…). These may include, for instance, a simple notification, the request for consent or rejection regarding a required action, or the automatic initialisation of a process.

If a notification is selected as the reaction, the desired users will be informed about what happened when the respective event occurred, and, if required, these users will be requested to act accordingly. In this case, the corresponding persons will be provided with an email or a message including the respective information.

Approval of a necessary measure

Furthermore, it can be defined that a necessary subsequent task, goods or a document remain blocked until a responsible person within the company approves the respective action and the object for further processing. For instance, a purchase invoice exceeding a certain amount can be blocked until an employee of the company has reviewed and approved this invoice.

Process automation

It is also possible to decide that the Microsoft Dynamics NAV 2016 system should automatically execute a defined response process upon certain events without there being any need for another user to manually initiate the next task.

Microsoft Dynamics NAV 2016 already includes more than 20 workflow templates (for purchase invoice processes e.g.) the user may use. However, developers may additionally define separate workflow events and reactions.

Up to now, Microsoft Dynamics NAV provided the option of partially parameterising business processes, but they were always defined by the system. The new logic regarding the workflows therefore creates the possibility to design processes generically and have them executed by users of the ERP System.

Microsoft Dynamics NAVSince last October the new version of the ERP software Microsoft Dynamics NAV 2016 is available. The increasing orientation towards mobile application scenarios also appears at its efforts to further upgrade the Web Client of the Dynamics NAV ERP software. While the field of application has been limited due to various restrictions in the past, the 2016 version of the Web Client develops into a full-fledged alternative for manifold NAV application scenarios. Additionally, the software has also been optimized for mobile terminal devices and can even be used on smartphones with the help of the new Universal App Client today.

A total of nearly 60 minor but effective enhancements have been implemented with regard to the web client in Dynamics NAV 2016. To date, the majority of the new functionalities have been available within the Windows Client only. First of all, they are designed to enhance the productivity, to simplify operation, and to increase the performance during use. Amongst other things, the innovations refer to the fields of data input, lists, role centre, as well as different basic settings.

For instance, the software can now be operated in the Web Client with a significantly higher level of comfort by fixing columns in tables, by expanding and closing tabs, and by quickly switching between different clients. Browsing is also easier in Dynamics NAV 2016, since cross-column browsing is possible and matching search results are already displayed during input to the field. Moreover, the new version allows the user to independently perform settings such as language, Company, region or time zone in the Web Client using the new version. These and many other enhancements make working with the ERP system in the web client easier.

Some of the new functionalities can also be found in the new Universal App Client of Dynamics NAV 2016. In relation to the Web Client, this Universal App Client is even more optimized to get used on mobile terminal devices such as Apple iPhone, iPad, or Microsoft Surface. Efficient gesture-based control and the enhanced representation on different screen sizes are prioritized. In so doing, the optimization was advanced to an extent that the client can even be used comfortably on smartphones with any of the common operating Systems.

The waiting has come to an end: At Directions EMEA 2015 in Mannheim, Microsoft announced the official availability of its new release, Dynamics NAV 2016. The ERP software offers its users numerous important innovations relating to portability and integration, as well as application-related and technologically progressive upgrades.

Even with the new release of its ERP solution, Microsoft wants to adhere to the three promises made to its users. Like its previous versions, the product shall be quick to implement and easy to use, and above all shall assist medium-sized companies all over the world in achieving their goals.

1. Use simple gestures to analyze your data at a detailed level

The Dynamics NAV 2015 tablet app provides the option to create PDF documents, print them out, or e-mail them directly within the application quickly and easily. All of this can be done in one single step without having to switch to the Web or Windows Client.

6. Benefit from the split screen
Users of Windows-based mobile devices (Surface) can take advantage of the split screen, which makes it possible to use multiple applications in parallel. This way, users can simultaneously display Microsoft Dynamics NAV 2015 and Outlook on the screen, for example.

7. Use the global search function
Unlike the Web Client, the Dynamics NAV App Client offers a global search function. If a term is entered into the search field, the software searches the entire table, without a specific search field having to be specified in advance.

The new version of the ERP system Dynamics NAV 2015 now brings a feature, which offers many possibilities in terms of designing reports – also for less tech-savvy users. So the newly introduced feature allows to create and edit documents with the well-known and familiar software Microsoft Office Word. Especially concerning his manifold and strong visual design functionalities, Word is an ideal support for non-experts, because the optical layout happens to 100% with the common attributes of the established word processing program. Integrated and configurable templates and the simple and comfortable use and adjustment are further significant advantages of the new Word document reporting.

However, it is also worth mentioning, that the use of Microsoft Word for creating and editing reports truly is a successful alternative to conventional RDLC reports, but not a replacement. Word should particularly be used when it comes to the design of simple and not too large documents, for example, contracts, invoices and letters. Since the software is not a generic report engine, grouping or totals are not possible within the reports. The formatting of numbers is limited to the possibilities provided by Dynamics NAV. Before using the tool, however, it should be examined in each case, what can already be implemented in the data model.

Another feature that facilitates the reporting in Microsoft Dynamics NAV 2015 is the so-called report scheduling. Users can now schedule reports directly from the Role Center, and plan the generation of resource-intensive reports on the NAV server to a specific time, for example, when the server is not too busy. The output reports can then be stored in the format requested by the user and can be viewed in the report inbox, which is integrated into the Role Center page.

Microsoft Dynamics NAV 2015 With the latest version of its ERP software Dynamics NAV 2015 Microsoft introduced a very special feature: the tablet client.

Dynamics NAV 2015 has brought many innovations. A highlight among them is certainly the tablet client. With this new feature Microsoft responded to a changed user behavior, and increases again the capabilities of the integrated ERP system Dynamics NAV.

For mobile access to current company data and processes, only the Windows client and browser-based web client have been available so far. While the web client translates the operating concept of the normal Windows client in a browser, with the tablet client the operation of each program element is fully adapted to the typical operation of a tablet device with touch screen:

  • intuitive control through gestures
  • convenient and continuous controllability of all program elements by touch
  • presentation of content in a form appropriate to the screen size

Remarkably, the tablet client is offered for the three most common device types. There is no limitation to Microsoft’s own hardware offerings The tablet client is available for:

  • Apple / iPad, Mac OS
  • Microsoft Surface / Windows operating systems
  • Device with Android OS

To use the tablet client, an app offered by providers on the respective platforms must be installed on the respective device. Furthermore, establishing a connection to an existing NAV 2015 operation system is necessary. With the user login, the app presents the role center and associated contents which can be accessed, designed for the specific user.

The tablet client accesses the same technological base and the same development environment as does the web client. Elements and objects of the tablet client are basically no new elements which have to be made or adapted to each case separately: For example, the insertion of a customized field can be performed in a single step for Windows client, web client and tablet client altogether. This, of course, saves enormous effort, because no detached web applications have to be designed, implemented or require maintenance.

Flexible use of the new tablet client
With the new tablet client, users have the possibility to work with Dynamics NAV 2015 not only on the Windows or web client, but also from on the way on their mobile devices (iPads, Microsoft and Android tablets), allowing them to access enterprise data and processes location-independently. With the release of the new version, Microsoft provides Dynamics NAV apps for the use on mobile devices (tablets only), which can be downloaded in the respective app stores.

Optimized user interface
A new customizable user interface allows to set up role centers and pages using active info tiles and individual color coding, so one can easily navigate, and quickly access key information and KPIs. This enables the system to indicate any need for action that might exist in any specific case. By adapting the menu to user roles and permissions, users see only the relevant information.

The software also provides some predefined templates which can be used or modified according to own taste and requirements. The process here is designed similar to a mail merge in Word.

Integration with other Microsoft applications such as Office 365
Microsoft Dynamics NAV 2015 offers the ability to integrate with other Microsoft products such as Office 365, and then comprehensively use the two applications. For example, users can access Word or Excel directly through NAV 2015, and get the necessary information.

Improved update options and performance
In Dynamics NAV 2015 automated processes for standard installations help to optimize update performance to increase efficiency and speed. This in turn may lead to huge cost and time savings, for example, if the upgrade to the next version of Dynamics NAV is imminent.

What’s New in C / SIDE
The new version also brings some improvements regarding the development environment in Dynamics NAV 2015. There is, for example, a new property in the page elements for subpages, where several lines of code can be marked simultaneously, and be commented with a single click.
